Reporting to the Unit Manager, this pivotal role is responsible for providing support to the Operations Manager and the Port Leadership team in all aspects of operational administration and system maintenance and reporting.
Your key areas of responsibilities include:
General Administration
- Facility reception duties.
- General administration support as required.
- Enter and update passenger figures into our inhouse Passenger, (SACS) system.
New Hire Onboarding and General Employee Administration
- Placing and monitoring uniform and PPE orders for new hire and existing employees, as per role and safety requirements.
Time and Attendance (Kronos) System Management
- Setting up new hire employee and labour hire employees on Kronos.
- Induct new hire employee and labour hire employees on how to swipe on and off and other roster related administration processes e.g. shift changes.
Finance Duties
- Compile all accounts payable paperwork, both inventory and non-inventory and ensure all documents are approved as per delegation guidelines.
- Complete documentation for the set-up of new suppliers in SAP.
- Liaise with Accounts Payable and Accounts Receivable Sydney in regard to any outstanding issues / queries.
This full-time role will be working onsite from Monday to Friday during business hours - flexible times on offer.
About You
- Strong, multi-disciplined administration and co-ordination experience with a complex, deadline orientated, fast moving operational or industrial environment operating across 24 hours, 7-day operation with multiple departments/teams.
- Exposure to either FMCG or Logistics or Manufacturing industries would be ideal.
- Experience with either ERP and/or Time and Attendance systems including reporting is highly desirable.
- Understanding of and working with budgets, plans and performance KPIs and targets would be highly desirable.
- Strong verbal and written communication skills in order to effectively communicate with a variety of internal teams and stakeholders.
- Enjoys the challenge in working within a busy environment, undertaking varied duties.
- Computer, (MS Office – WORD & EXCEL) and system literacy is essential.
- Higher School Certificate/TAFE or equivalent.
