About the role:

An opportunity for a highly skilled Business Support Administrator to assist Sydney Water’s Asset Lifecycle team on the Upper South Creek Project at Kemps Creek located In the greater Western Sydney region.

Working within a multiskilled team, you will serve as a vital component in delivering top-tier Business Support services to meet both client and internal business expectations. Your role will encompass several critical functions aimed at ensuring the setup and smooth operation of project activities and enhancing overall team effectiveness.

Key responsibilities are:

  • Collaboration with the client site team to assist with setup of administrative functions.
  • Document control within business management systems/Sharepoint
  • Administrative support e.g. Client meeting management, document control, procurement/contract management, purchasing requests, reporting
  • Assist with onboarding/offboarding staff/contractors
  • Schedule/attend meetings – minute and actions where necessary
  • Preparation of background information for meetings, including collating of papers, handouts, etc.
  • Manage shared mailbox correspondence
  • Validation of claims
  • Liaise with Stakeholders and other team members to provide SAP support, PRs, POs, SESs, match exceptions
  • Liaise with managers and others within Sydney Water on behalf of the Stakeholder as required
  • Assist with Ministerial & GIPA enquiries where necessary

About you:

This role will ideally suit a team member with a minimum of 5 years’ experience in providing administrative support to business units, including processes and transactions that involve interface with operations staff, contractors and stakeholders.

You enjoy a fast-paced working environment and being a key point of contact for support to achieve business outcomes.

  • Tertiary qualifications in Business Admin or a related discipline
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Proactive and self-motivated, with a willingness to take initiative and drive tasks to completion.
  • Demonstrated ability to identify issues and proactively implement solutions.
  • Strong interpersonal skills and the ability to work collaboratively within a team environment.
  • Discretion and the ability to handle confidential information with sensitivity and professionalism.
  • Proficiency in Microsoft package including Outlook/Teams, Sharepoint, Maximo, Hydra, SAP Finance & Customer Relationship Management systems.
  • High level of accuracy and attention to detail, particularly in managing documentation and data entry tasks.
  • Excellent written and verbal communication skills, with the ability to interact professionally with team members and stakeholders at all levels.
