The Business Support Officer provides high quality business and project/ administrative support to the Customer Service Manager, the members of the Customer Service management team. The role ensures all administrative procedures are provided and delivered in a competent, professional, and efficient manner.
Key Accountabilities:
- provide business, administrative and project support and assist Managers in the unit to complete various activities associated with regular organisational reporting plus other project and administrative work, including coordinating meetings, preparing minutes and agenda papers for meetings, arranging venues, catering, refreshments and ordering of office supplies and uniforms.
- draft basic correspondence, memos, presentations and reports with regards to various matters as requested and follow up items or issues, sourcing information, filing, preparing correspondence, agenda and minutes, coordinating activities to meet deadlines and other office tasks as required.
- Contribute to the efficient operation of the Business Improvement Team by maintaining administrative systems of the team including the team's email inbox, preparing meeting agendas and minutes and updating task and project status reports.
- establish and maintain an effective filing system to ensure that all records are correctly and efficiently stored on Council’s recording systems having regard to the principles of good customer service and accessibility and availability to the Division’s customers and the public and ensure that Council's statutory responsibilities relating to the provisioning of services and information are complied with.
- Create and revise business forms and maintain Corporate Forms Register;
- ensuring compliance with legislative, industrial and Council policy requirements and standards in the areas of Equal Employment Opportunity, Workplace Health and Safety, and Rehabilitation.
- Delivery of both regular and unforeseen tasks and responding to urgent issues and matters in timely and discreet way.
- Working with and responding to a range of diverse internal and external stakeholders regarding various types of projects whilst ensuring timely and professional
- Delivering accurate and consistent work within a high-volume
- Previous Government state or local government ideally.
- Knoeldge of TRIM.
- Experience managing a team's email inbox, preparing meeting agendas and minutes and updating task and project status reports.
