About the Role
The Business Support Officer - ACE is responsible for providing a wide range of administrative functions to support the work of the Managers & Team Leaders in the Advocacy, Communications & Engagement team to achieve the units’ operational and strategic objectives.
The role will work collaboratively across the unit and Directorate with a focus on business improvement activities and will facilitate effective daily and long-term management of the unit’s goals with an emphasis on the provision of excellent customer service.
Reporting to the Manager – Advocacy, Communication & Engagement the core responsibilities include:
- Work collaboratively with the ACE unit to support the delivery of key projects, initiatives, events and programs
- Provide high level, trusted and confidential administrative support
- Provide exceptional customer service to the exemplary standard required when representing the Manager and ACE unit
- Prepare and draft correspondence, managing workflows and approvals
- Support the ACE unit in procurement processes
- Diary and inbox management for ACE Manager
- Support the unit’s business goals and objectives by supporting the development of Strategies, Policies, Plans and Procedures
- Proactively scheduling meetings including the preparation of agendas and capturing actions
- Provide cover for other support roles within the Directorate including the Executive Assistant to the Director and other business/admin support roles
- Assist Manager and ACE unit with Councillor requests, involving monitoring the Councillor Request system to ensure responses are provided within required timeframes
- Assist Manager and Team Leaders with preparing recruitment materials and participate in the recruitment process as requested. Facilitate transfer of Position Description information to new corporate templates
About You
- Demonstrated experience providing a high level of administrative support to managers
- Qualifications in Business Administration (desirable)
- Demonstrated efficiency in the MS Office suite of applications and information management systems
- Experience in local government or other complex organisations is desirable
- Ability to manage workload to a high standard and the ability to determine work priorities. Political acumen, tact, and diplomacy in the achievement of outcomes
