About the Role
The Position is an operational Role within the company and assumes responsibility for the effective use of the financial management system within Australia & NZ. The position will ensure that the financial management system is operational and is used in a manner that meets the needs of the Division and Meinhardt while ensuring the integrity of the system and the information that is stored within it. As this role continues to grow and develop, you must be receptive to developing the position to meet new challenges as they arise.
Key Responsibilities
- Ensure that staff follow guidelines, procedures and methodologies to ensure the integrity of the information.
- Assist staff in generating various reports from the system and assist with the analysis of the same in conjunction with the relevant Directors/Team Leader/Project Leaders etc.
- Develop and maintain training manuals, operational/ procedural manuals, and technical support documentation. Including where applicable input into the BMS.
- Implementation of Company relevant BST modules and their effective use.
- Mentor and/or train other project finance administrators as needed, including reviewing billing and project budgets to perform QA/QC.
- Work with Project Leaders to prepare updates on work in progress and fees in advance calculations.
- Train existing users and new users on the systems.
- Implementation responsibility for future phases of the system.
- Responsibility for the Month End procedures.
- Ensure proposals/contracts/agreements for projects are recorded.
- Approve Projects. Clients, Change orders on BST on daily basis
- Process monthly billing/invoices in BST
- Process AP in line with routine procedures.
- Follow up on a regular basis with staff for project data input.
- Ad hoc administrative, team building, team welfare, etc., tasks as required; and
- Performing similar additional duties as assigned and where time permits.
Skills & Experience
- Intermediate to Advanced MS Office skills (Word, Excel, Powerpoint and outlook)
- Excellent interpersonal skills
- Excellent written and oral communication skills
- Ability to multi-tasks and manage competing priorities.
- Previous administration experience in a team environment
- Experience in a similar role, ideally in a fast-paced environment.
- Knowledge of BST
