The Shore Cadet Unit was established in 1908, and celebrates its 116th year in 2024. We are seeking an organised Administrator, to assist the Commanding Officer in the smooth running of the Shore Cadet Unit office at the school's North Sydney campus. This role is an integral member of the Unit’s team that supports the Unit, the School and the Co-Curricular Department to provide effective administrative support to all.
The role of the Administrative Assistant is to support the weekly workflows associated with routine parades and major field activities. As well as this, the successful candidate will be tasked with the running of the Unit Database and therefore suits an individual with high-level administrative skills.
This role is offered on a 3-day per week basis, term time only.
Hours will be 8:30am-4:00pm on Tuesdays, 9:00am-3:30pm Friday’s & 9:00am-3:30pm on the third day which will be chosen by the successful candidate in consultation with their line manager.
The main responsibilities of the role are:
- Support the Commanding Officer with database administration and provide key reports as required.
- Track enrolments, attendance and other related data for members within the unit
- Provide outstanding customer service to students, parents, staff, and other stakeholders.
- Manage the weekly parade attendance roll, including workflows associated with following-up absences.
- Provide important leadership and pastoral care to both students and staff.
- Assist in event administration and logistics with the Annual Ceremonial Parade and Dining-In night, Annual Field Exercises (AFX), Bivouac (BIV) and the Annual Leadership and Promotions Courses.
- Excellent written and oral communication skills;
- Well-developed computer literacy across the Microsoft suite of products, SharePoint and Zoom; Previous experience in database management would be well regarded.
- Exceptional attention to detail.
- Refined organisational skills with ability to juggle multiple tasks;
- Excellent time management skills and ability to work to deadlines;
- The ability to maintain confidentiality;
- A mature approach and ability to remain calm under pressure;
- Experience and/or familiarity with the Education Sector, Australian Army Cadets or Australian Defence Force is desirable but not essential;
- A current WWCC (working with children check ) or the willingness to attain one;
- Hold and maintain currency in First Aid and CPR (HLTAID 011) or the willingness to attain certification within 1 month of employment
