Selection Criteria

Role

Balwyn High School (BHS) is a leading Victorian Government school, with a strong focus on providing a diverse range of school events and cocurricular programs to engage and develop our students. At BHS, we also place a strong emphasis on staff development and the collaborative and collegial relationship between Education Support (ES) staff and teachers.

The Administration Officer is the first point of contact for community members contacting our school, and is crucial to triaging queries and managing first impressions. The Administration Officer provides essential support across the school, assisting in daily operations, administrative tasks, and support to students and staff. The Administration Officer is a member of the supportive and friendly Finance and Administration Team, and works closely with the Business Manager and the broader school leadership team.

Responsibilities

Key Responsibilities

1.       Reception duties ¿ greeting and directing visitors, answering calls and queries from parents and members of the community (including triaging queries to the appropriate contact).

2.       Routine clerical and administrative support - mail, stock control, calendar management, receiving and initial processing of school forms and paperwork.

3.       Liaise and provide information/support to community, students and staff.

4.       Develop and implement strategies to ensure effective administration procedures.

5.       Process CSEF applications.

6.       Support the organisation and administration of camps, excursions, incursions, and school events (including our annual Presentation Night).

7.       Record management and photocopying duties including filing of staff records and exam photocopying.

8.       Data extraction and printing of standard reports from CASES21 and other software packages as required.

9.       Assist with the maintenance of the student and family database.

10.   Maintain a high level of confidentiality at all times.

11.   Provide support to First Aid officer as required.

12.   Provide ad-hoc support to other ES staff within the school.

13.   Other duties as directed by the Business Manager or Principal.
