This role will report to the Commercial Manager and will work closely with the Senior Contracts Administrator, Contracts Manager, and all applicable stakeholders. The Contracts Administrator will manage and execute downstream and partly upstream contracts, attending meetings and other contract administration works that may be asked to do in day-to-day activities. This role has no direct reports and is based in our Rivervale office, Perth.

The Opportunity

The Contracts Administrator will be responsible for providing commercial, financial, and contractual support to the Senior Contracts Administrator during the performance of various projects to ensure that those projects attain financially and commercially successful outcomes.

Key responsibilities include.

  • Procurement of Subcontracts and Suppliers inclusive of raising Purchase Approval Recommendation (PAR), signoffs and assist the preparation of the scope of work, cost breakdown structure, and all other documents that form part of the request for quotation (RFQ) packages.
  • Conduct weekly procurement meeting to track and or monitor the progress of procurement works in alignment with the project baseline program.
  • Prepare and submit all commercial notices and claims on timely manner (including variations, delays, disruptions etc.) including performing technical analysis and evidence documents.
  • Prepare payment claims with compiled documents, with the support of the Contracts Manager.
  • Assist PM in preparing all monthly cost reports, project reports.
  • Downstream contracts administration including managing all responses, approvals of variations, payment schedules, supplier invoice and the like.
  • Weekly coordination meeting with Project team and distributing minutes.
  • Manage all upstream claims, responses, notifications, certificates, etc.
  • Integrate technical issues into contractual notices.

Requirements to be successful.

  • 1-2 years of experience as a Contracts Administrator
  • Experience in all stages of head contract and subcontract management, including preparing claims, procurement, scope preparation, cost forecasting, variations/claims management, completion and closeouts.
  • Experience in SAP and working on rail/technology projects is preferable.
  • Site-based engineering or construction experience.
  • Ability to read and understand P6 program, good letter writing skills, can analyze delay and disruption and Extension of Time claim.

  • Minimum 5 years of experience as a Contracts Administrator, Quantity Surveyor or other relevant experience in the Construction and Engineering Industry.
  • Experience in all stages of head contract and subcontract management, including preparing claims, procurement, scope preparation, cost forecasting, variations/claims management, completion and closeouts.
  • Experience in SAP and working on rail/technology projects is preferable.
  • Site-based engineering or construction experience.
