About This Opportunity

The Coordinator, Community Engagement and Events will be the key person driving the Community Engagement Area of Responsibility (CEAR) for the Centre. This position will help build, maintain and be the conduit for relationships between Indigenous communities, and the Centre's researchers and Partner Organisations. This position will also administer the Indigenous Futures Internship Program (IFIntern). Their relationality role will include providing logistical organisation and administration for all Centre related events including the Annual Summit, Bi-annual Conference, Bi-annual Retreat, 1-day symposia, and professional development workshops.

Key responsibilities will include:
Engagement and Communication

  • Under the broad direction of the Senior Coordinator, Marketing & Communications, co-ordinate high impact and sustainable engagement initiatives designed to engage with Indigenous communities, and the Centre's researchers and Partner Organisations.
  • Develop systems to track, evaluate and improve engagement initiatives: produce event status and evaluation reports; develop and implement appropriate event survey mechanisms; monitor the quality of event presenters and suppliers; measure the success of events through indicators such as event attendance surveys and new/repeat attendance figures.
  • Liaise with ARC-IFC team around pre- and post-event communications to ensure strategic objectives for each initiative are met, opportunity for engagement is maximised and maximum impact is achieved.
  • Ensure appropriate and timely advertising and promotion of engagement initiatives through all relevant channels, e.g. websites, print and email invitations, newsletters, staff news, external websites, social media etc.
  • Coordinate internal communication about the Centres' Community Engagement activities and outcomes across the university, including providing any written reports for publications.
  • Ensure the Centre presents a relevant, consistent and integrated message and brand to stakeholders - external and internal - by adhering to University policy and ARC-IFC style guides.

Events

  • Plan and implement events that support the ARC-IFC and enhance the reputation of the University including Annual Summit, Bi-annual Conference, Bi-annual Retreat, 1-day symposia, and professional development workshops.
  • Supervise casual/contract staff if required to ensure high-quality delivery and timely completion of events.
  • Liaise with external suppliers to negotiate the best outcome for all aspects of the events including venue hire, catering, photography, audio visual requirements etc.
  • Prepare all event briefing material, such as event proposals, running sheets, briefing notes and guest lists under the guidance of the Manager and ensure these are appropriately circulated in a timely manner.
  • Ensure that event and program messaging and branding aligns with the strategic goals of advancement and the university.

Travel and Out of Hours Work

  • Attend events or functions outside normal business hours as required, which may require some work on weekends
  • Some event-related travel may be required from time to time.

This is a full-time fixed-term position for up to 3 years and the successful candidate will be required to be predominately based on campus. Part time working arrangements may be considered.

At HEW level 6, the full-time equivalent base salary will be in the range $88,099.39 - $94,512.08, plus a generous super allowance of up to 17%. The total FTE package will be up to $103,076.28 - $110,579.13 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases - at least once a year.

About You
  • Degree in event management, design, communications, creative industries or a relevant discipline with subsequent relevant experience in a similar role; or an equivalent combination of relevant experience and education/training.
  • Demonstrated ability to manage high quality events and activities of different scales for a range of different audiences within designated budgets.
  • Excellent interpersonal and communication skills, including a demonstrated ability to develop strong collaborative working relationships at all levels, and liaise with stakeholders to achieve desired outcomes. Prior experience engaging and communicating with the Indigenous community is highly desirable.
  • Highly effective organisational and planning skills including excellent attention to detail and accuracy, the ability to use initiative, prioritise own workload, solve problems and meet strict deadlines.
  • Demonstrated high level of computer competency, including experience in using Microsoft Office programs, Adobe Creative Suite, email management systems (i.e. Mailchimp), web content management systems, and social media management sites.
  • Demonstrated high-level written skills, including the ability to write for different audiences and edit copy for short publications, advertising, social media and the web with a high level of accuracy and attention to detail.
  • Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
  • Knowledge of the preparation and monitoring of budgets and processing financial transactions in a large to medium sized organisation, or the demonstrated ability to rapidly acquire such knowledge.
  • Must have a positive attitude and display emotional intelligence and maturity: commitment to contributing to a supportive, friendly and dynamic team environment, as well as encouraging and demonstrating collaboration to achieve results.
