Coordinate administrative processes and procedures for Aspen Medical Head Office!
The Corporate Support Receptionist role is a front of house reception role with elements of administration, coordination and organisation duties! The role reports to the Corporate Support & Travel Manager.
Key Duties:
Greeting clients, suppliers and guests arriving at Canberra Head Office and direct them accordingly.
Operating the internal Telephone System and handling incoming calls - both internal and external to the organisation, ensuring all communications to staff including messages and notices are done so in a timely manner.
Opening, sorting and distributing incoming mail and deliveries.
Maintaining the general tidiness of the reception area, conference/meeting rooms and communal areas.
Manage and oversee meeting room booking registers.
Perform receptionist duties as required to ensure consistent coverage at all times.
Facilitate and maintain the serviceability of the Head Office pool vehicles.
Ensure contractors are inducted on the Work Health and Safety requirements, the standard of work that is expected and to monitor their compliance.
Coordinate supplier contracts, ensuring invoices are accurate and are paid promptly.
Facilitate and maintain all business utilities and commercial services.
Assist with the provision of identification cards, building access cards and car parking allocation.
Maintain office supplies, along with ordering and purchasing items for all departments.
As the successful candidate you will have:
Proven organisational skills, including the ability to prioritise workload and meet deadlines.
Highly developed communication (written and oral) skills.
Demonstrated ability to provide a high level of customer service.
Ability to work under pressure.
Ability to maintain confidentiality.
