Randstad are helping one of our servicing company clients based in Welshpool, they are dedicated to providing exceptional service and support to their customers. We are currently seeking a Customer Service Coordinator to join the team and contribute to our commitment to excellence.
Job Description: As a Customer Service Coordinator, you will play a crucial role in ensuring the smooth operation of our servicing company. Your responsibilities will include workplace health and safety compliance, operational support, sales assistance, fleet logistics, rental support, and general administrative duties.
Responsibilities:
Workplace Health and Safety:
- Ensure compliance with company WHS policies and procedures.
- Report all incidents promptly.
- Attend and participate in team briefs and meetings as required.
Operations:
- Create and process SMOs (Service Maintenance Orders).
- Handle customer enquiries and quotations for workshop and parts resources.
- Manage ordering, receipting, and processing of purchases within Business Central.
- Provide administrative support as needed.
- Maintain mechanical workshop bookings and work priorities.
- Support new vehicle arrivals and sale vehicle disposals.
- Assist in vehicle recalls, licensing, and mine site-specific inspections.
- Review and action Business Central reports as required.
- Compare, review, and develop new supplier relationships as needed.
Sales:
- Provide customer quotations for mechanical service.
- Manage damage and other charges, including pre-rental and post-rental inspections.
- Liaise with customers regarding extra charges.
Fleet Logistics:
- Assist with licensing, inspections, regulatory requirements, and mine site specification compliance.
Rental:
- Provide assistance, backup, and relief to the branch rental functions.
Management:
- Analyse and take action on system-generated exception reports.
- Identify opportunities for process improvement and efficiency gains.
Education / Professional / Technical Qualifications:
- Secondary Education Certificate.
- Administrative or Business Qualification beneficial.
- Computer literacy, especially in Microsoft Office Suite.
- License to drive manual vehicles (C class) essential.
- MR class (or larger grade) license an advantage.
Professional Experience:
- Previous experience in an administrative or Customer Service role.
- Previous experience within a mechanical and parts environment an advantage.
- Ability to plan and organise resources to meet customer requirements.
- Ability to complete work within company guidelines in a timely manner.
- Experience using Microsoft Office Suite.
