Coolamon Dental is seeking an experienced and dynamic Practice Manager to join our team. Our Practice Manager, who has been with us for over 15 years, is leaving, and we are looking for a professional who can lead our practice with strong leadership and experience in building and maintaining a productive and positive working environment.
Key Responsibilities:
- Managing all aspects of the day-to-day running of the practice
- Managing and leading customer relationships and stakeholder inquiries
- Ensuring client care is always central to all business actions
- Maximizing client bookings and billing opportunities
- The performance of staff (not including practitioners)
- Liaising between practitioners and customer service staff
- Maintaining client records in the database
- Keeping up to date with fortnightly payroll documents and ensuring that payroll statutory requirements are met
- Debt management, including liaising with clients to settle accounts
- Managing and reconciling accounts receivable and accounts payable
- Managing relationships with vendors, service providers, and landlords, ensuring that all items are invoiced and paid on time
- Partnering with Happy HR to maintain office policies as necessary
- Ensure client and business privacy and confidentiality is maintained at all times
- Demonstrate and encourage leadership and teamwork
- Continually gather feedback to improve all aspects of the practice
- Telephone answering and client bookings
- Ad hoc administration and projects as required
Core Responsibilities:
Appointment Books:
- Monitors appointment books in advance to ensure limited appointment gaps in conjunction with receptionists
- Manages appointment books to ensure they are full and optimize the use of dentists' time
Reception:
- Carries out Reception and Front Office Coordinator responsibilities
Liaison:
- Management of staff, dentists, dental nurses, administrative staff, and other clinics
Leadership:
- Sets a good example and manages staff to ensure productivity and efficiency
- Independently manages change of processes and staff for smooth and efficient running of practice
- Performance management and feedback
- Motivation, team morale, teamwork
- Manages conflict independently
- Attends to after-hour emergencies if required
Human Resources:
- Rostering
- Approving leave
- Managing timesheets
- Managing training of administrative staff
- Coordinating nurses
- Overseeing training
- Onboarding all clinicians and practice support team
- Recruitment of staff as business requires
- Independently carries out performance/management reviews on support and nursing staff
Patient Management:
- Manages patient's superannuation funding applications
- Conducts patient consultations when dentists are overbooked
- Closes treatment plans approved by dentists
General Administration:
- Maintain systems and processes for efficient day-to-day operations
- Fee earner reporting
- Maintain, develop, and produce reports on dentists' performance
- Responsible for credit management and debt collection
- Manages petty cash float and records
- Oversee, support, and improve debt collection systems
- IT management: Ensure efficient functioning and maintenance of network hardware and systems
- Equipment maintenance: Ensure facilities and equipment are maintained and serviced
- Basic bookkeeping: Deputy Payroll and bank reconciliation
