The Role: We are currently seeking dedicated, passionate and driven Team Leaders and/or Practice Managers to join our Perth practices to help us drive our focus in providing the highest quality of care to all our patients. 

Purpose of the Job: To liaise with the practice owners, clinical team, and practice support team, to ensure and be responsible for the smooth and efficient running of the practice as a whole (reporting into the General Manager & Directors).

Core Responsibilities:
  1. Appointment Books - Monitor appointment books ahead of time to ensure there are limited appointment gaps and coordinate regular leads follow.
  2. Reception - Carries out Reception and Front Office Coordinator responsibilities alongside front of house employees. 
  3. Liaison & Leadership - Management of dentists, dental nurses and administrative staff (leading on communication between clinics).
  4. Staff Management – Rostering, leave approval, timesheet processing in Deputy, training, coordination of nurses, onboarding clinicians, recruitment of staff by assisting the GM with resourcing needs.
  5. Patient Management – Information provision to patients to enable them to consider superannuation funding applications; patient consults where Dentists unavailable; closing treatment plans provided by Dentists.
  6. General Administration – Maintain systems, records and processes to ensure efficient day to day operations.
  7. Fee Earner Reporting – Maintain, develop and produce reports on Dentists’ performance (in conjunction with GM oversight).
  8. Credit Management – Management of debtors by following up outstanding payments before surgery and ensuring collection; contact patients with overdue accounts; manage petty cash float/records; improve debt collection systems where possible.
  9. Equipment Maintenance – Ensure facilities and equipment are maintained and serviced.
  10. Basic Bookkeeping – Deputy payroll; Bank reconciliations and other basic financial checks/balances. 
Skills & Experience:
  1. Strong Business Acumen - understand trends and information affecting the business, clear comprehension on competitors and mitigation factors.
  2. Decision Making - makes good decisions based on analysis, experience and judgement.
  3. Organisation - is highly organised, uses time management effectively and can operate on multiple issues concurrently.
  4. Customer Focus - dedicated to meeting the needs of internal and external customers; get firsthand customer information and use it for improvements in products and services. 
  5. Directing Others – shows respect whilst establishing clear directions; distributes workload effectively; maintains two-way dialogue with direct reports and provides day-day feedback as needed. 
  6. Negotiating - negotiate successfully in tough situations with internal and external groups; can win concessions without damaging relationships; gains trust quickly; has a good sense of timing.
  7. Planning - sets objectives and goals; measures performance against goals and evaluates results.
  8. Communication - is able to get the message across clearly and succinctly; adapts to a variety of settings and cultures.
  9. Well-developed computer skills – competent in word processing, Outlook/Microsoft Office generally, spreadsheets and report writing/presentations. Other relevant software platforms would be looked upon favorably.
