At Officeworks, governance and controls around our data, documentation, policies and processes is a key priority and we are now on the lookout for a Document Controller - Product Safety and Compliance to join our team.
In this role, you will play a crucial role in establishing, maintaining and improving documentation that supports our product and quality management system, this includes our procedures, process flows and guidance, requirements and applicable standards. Working with key stakeholders, you will have an inquisitive mind, keen to understand the way we work to find ways we can continually improve. You will take full ownership of the document control system, ensuring that our documentation, including policies, procedures, standards and specifications, forms and other tools are accurate, up to date, and clearly defines Officeworks' expectations for Product Safety, compliance and quality.
We offer great flexibility, working a hybrid model with 2-3 days per week in our Chadstone office and the remainder of your week working from home. This is a 12-month full time fixed term contract position.
As Document Controller - Product Safety and Compliance, you will:
- Maintain the product documentation system that underpins Officeworks' global supply chain standards
- Clearly and effectively communicate, manage and implement changes to specifications, requirements, and applicable external standards with key stakeholders (product development and buying teams)
- Lead the development and continuous enhancement of the quality management system and product documentation system to ensure it accurately reflects current specifications, requirements and standards
- Conduct regular audits of existing documentation to assure accuracy, relevance, and Compliance with the established Safety and quality guidelines.
- Identify discrepancies or areas for improvement and initiate updates to enhance clarity and Compliance.
- With a risk based approach, you will ensure the Product Management System defines the product issues and incident process, with immediate corrective and preventative action to address product issues and incidents.
You are inquisitive, can build strong stakeholder relationships and take a risk-based approach. You will have a background working in a similar role, with work within the retail or procurement an advantage. In addition, you will have:
- Minimum 2 years in a document management/document control/technical writing role managing compliance-based documentation or operating within a highly regulated industry
- An ability to understand requirements and translate into tangible actions with strong analytical skills to identify issues in documentation or compliance processes
- Experience managing end to end document lifecycle, including training and awareness activities.
- A proactive approach with strong stakeholder engagement with the ability to influence at all levels
- Excellent writing / technical writing capability.
- A good understanding of local and international regulatory requirements related to Product Safety and Compliance, and the ability to apply this knowledge practically.
