The Role
Reporting to the Lead Document Controller, this role is responsible for the day-to-day Document Control functions such as processing of incoming and outgoing documentation, creation of document numbers for the project, data entry (including the population of the DMS), and other ad-hoc tasks as required.
Responsibilities
- Maintaining workflows including the collating, issuing, and receiving of documents in accordance with project requirements.
- Ensure document submissions are in accordance and compliance with project related requirements for example; document naming, numbering, formatting and requirements have been achieved.
- Ensuring the process for managing and maintaining documentation within the Data Management System is adhered to and the required standards are being achieved.
- Prepare routine documents using standard Microsoft Office Suite including Excel.
- Support audits, internal technical reviews and client reviews.
- Support the Configuration Management Team with ad-hoc duties and periodic internal and external reporting requirements.
- Provide guidance and advice on methods, procedures, standardisation and requirements to the project, client, contractors and third parties with regards to Document Control, and ensure compliance.
- Identifying, collaborating, and implementing improvements within the Configuration Management & Document Control processes.
Requirements
- Minimum of 2 years Document Control experience - essential
- Proven working knowledge of electronic document management systems such as Siemens TeamCentre - highly desirable
- Adobe Sign experience (desirable)
- Experience within a large dynamic project organisation - highly desirable
- Well-developed skills within the Microsoft Office suite of products, particularly Excel - essential
- Well-developed communication and interpersonal skills
- Commitment to working in a team environment
- Ability to work under pressure and to deadlines
- Defence or shipbuilding experience - desirable
