The Events & Activities Coordinator position is to coordinate program operations and facilitate activities, events, and hall hire while ensuring a high level of member and client engagement and satisfaction is achieved.

Specific Duties

  • Activities, Events, Hall Hires & Programs
  • Coordinate and deliver a range of events and projects focusing on reducing social isolation and improving community connections. 
  • Promote offerings to existing members and the broader community. 
  • Use safe work practice design principles to ensure member activities are delivered safely.
  • Coordinate event volunteers to ensure events run smoothly and effectively.
  • Coordinate hall hire enquiries and bookings for all Burnie Brae venues. 
  • Distribute and oversee contract agreement processes for external parties including arranging equipment, invoicing, and other requirements.
  • Assist with the running of all events.
  • Liaise with vendors & suppliers for all events.
  • Support to the Events & Activities Team Manager. 
  • Coordinate and oversee the Burnie Brae gift shop and loyalty program, liaising with companies to make a profit.
  • Identify and provide recommendations for fundraising and funding opportunities using effective budget management.
  • Coordinate and facilitate project pantry, digital mentoring, and other programs as required. 
  • Build sustainable relationships with all class facilitators.
  • Review all weekly activities for viability on an ongoing basis.
  • Research and evaluate possible new activities and facilitators.
  • Membership and reception duties (when required)

Skills and Experience

  • 1-2 years’ experience in events/activity planning or volunteer-based community events.
  • Certificate III in Event Management or similar qualification.
  • Advanced data, reporting, and analytical skills.
  • National Police Check.
  • Statutory Declaration. 
  • Proven experience working within a marketing, fundraising, or similar role. 
  • Experience within a membership organisation highly regarded.
  • Background within the Aged Care and/or Disability sector preferred. 
  • Experience with iMIS database software advantageous.

Personal Qualifications

  • A high level of customer relations skills and experience, particularly with an emphasis on these gained in face-to-face situations.
  • Organisation, multi-tasking, and time management skills.
  • The ability to work well within a team environment helping team members as necessary, as well as the ability to work autonomously.
  • High attention to detail
  • Initiative, & the ability to problem-solve.
