Cottesloe Golf Club is an exclusive private Members Club located in Swanbourne, Western Australia. We are seeking a talented, enthusiastic, experienced Events Coordinator to join our team. We are open 6 days a week predominantly for Lunch and Dinner. Cottesloe Golf Club was last year ranked as the number one Metropolitan Golf Course in WA and was a finalist in the Clubs Industry Members Function of the Year in 2021. An 18-hole golf course layout boasting breath-taking views of the ocean and the city from both the clubhouse and the golf course.
The Clubhouse is a fully licensed venue offering a la carte dining for lunch and dinner and catering for functions that range from special occasions, birthday celebrations, golf and corporate events.
Having worked in a similar role within the hospitality industry, you will be a team player with excellent communication skills and attention to detail.
The role:
The Golf Club is seeking an exceptional "people person" to join our team as our Events Coordinator. You will be an enthusiastic and experienced team Member who will coordinate the sales and detail from enquiry through to delivery on the day. The role will also include planning and executing internal events and promotions within the venue alongside the management team.
This is a part time salaried position 30/32 hours per week.

You will be responsible for liaising with clients and Members to discuss their needs as well as ensure functions and events held at the Club run smoothly.
Job tasks and responsibilities
- Manage the yearly events calendar to ensure the full utilization of all function spaces
- End to end administration of events, inc initial inquiry, accurate quoting, creation of the BEO’s effective communication to the F&B team, finalizing of invoices, client follow up
- Completing key documents such as weekly/monthly events forecast, activity reports, enquiries and conversion stats
- Respond to initial enquires in a timely manner
- Prioritize and meet deadlines through exceptional time management
- Determine sales targets and identity opportunities for revenue growth to achieve budgeted revenues.
- Communicating and meeting with clients to determine their requirements and expectations to ensure the success of the event, planning meetings & hands on coordination of the event
- Build and maintain strong relationships with our members, key stakeholders, suppliers and our external customers
- Serve as primary point of contact for large events and functions
- Ensure the distribution of the BEO’s to the relevant departments in a timely manner
- Working closely with the F&B team to create a monthly promotions calendar
- Excellent interpersonal and communication skills
- Sales and co-ordination of various events at the club including corporate/trade golf days, functions, and social events
- Flexibility with availability as required for days, nights and weekends
- F&B operational experience highly regarded
- Experience working with a PMS such as Northstar is highly regarded
- Maintaining high-quality standards throughout the department, ensuring members/clients satisfaction
