Events Coordinator will add to our team as we continue to set the standard for excellence in event hospitality.
Key Responsibilities:- Spearhead the coordination of both internal and external events, guiding clients from initial ideation to event conclusion.
- Collaborate closely with clients to understand their specific needs and expectations, offering informed guidance on event options and pricing.
- Oversee invoicing and payment processes for events, ensuring accuracy and timeliness.
- Maintain meticulous records within our events systems and databases, furnishing essential data for regular reports.
- Act as a liaison between clients and SkyPoint management, attending events as needed to ensure client satisfaction and smooth operations.
- Organize and participate in showcase events, hosting prospective clients for familiarization tours and site visits.
- Conduct market research and respond to incoming business and repeat clients.
- Coordinate with internal departments to seamlessly integrate all elements of an event, from logistics to entertainment.
- Manage and distribute event information, including Banquet Event Orders (BEOs), and facilitate weekly BEO meetings.
- Cultivate relationships with suppliers, overseeing everything from theming and staging to AV and entertainment.
- Proactively upsell event components and ensure compliance with safety and event requirements.
Desired Qualifications:- Minimum of 2 years' proven experience in a high-volume events environment, demonstrating a thorough understanding of the event lifecycle from sales to operations.
- Outstanding communication skills, coupled with exceptional organizational abilities, attention to detail and a positive, energetic demeanour.
- Proficient in multitasking and adept at working under pressure to meet competing deadlines.
- Flexibility to work weekends during peak periods and attend events outside standard operating hours.
- Experience with Ivvy or similar event management software is highly desirable.
