An exciting opportunity for an enthusiastic experienced Event Coordinator to join EPICURE at Brisbane City Hall. The Event Coordinator is responsible for the successful day to day management of Events coordination tasks.
EPICURE manages all facets of the event process, and at Brisbane City Hall, every day is different with our varied clientele.
Additionally, the Event Coordinator will respond to incoming ‘requests for proposals’ as distributed by the Head of Sales and attend to incoming calls and site visits by potential customers with a view to securing their business.
The Event Coordinator will ensure the effective booking, contracting and co-ordination of events in conjunction with the sales, events and operations team to ensure that client requirements and expectations are met.
Administration and coordination of all sales activity is to be managed through the Events Business Management System Ungerboeck and is required to utilise the system for generating an accurate Event Order to include all facets of planning, invoicing and operational requirements to maximise the client’s experience.
Daily tasks will include:
- Providing reliable, consistent and responsive service and communication to clients
- Prepare accurate quotes for client requirements.
- Ensure clients are providing event information by contracted times frames including, menus, beverage lists, bump in/out schedules, styling information, loading dock passes, table allocations, dietary lists etc
- Research, attend and report on appropriate trade expos and events
- Communicate recommendations on key client/marketplace feedback and trends on an ongoing basis
- Ensure all information that is collected is maintained accurately and updated regularly in EBMS (Ungerboeck)
- Ensure the management and development of events is meeting the required guidelines as presented to the client.
- Ensure invoices are raised by their scheduled dates, and payment received on time.
