Tasks & responsibilities
- Chief Executive Officer /Managing Director/Executive Director Support Ensure emails from the Chief Executive Officer and the Honeycombes Executive are closed out every day and that all emails are responded to in a timely manner.
- Manage all appointments and diary commitments for business and Executive matters for the CEO and the Honeycombes Executive. This includes the provision of travel time to appointments, providing the relevant documentation, maps, etc.Regularly clear and distribute to appropriate in/out trays.
- Typing of correspondence. Filing, sorting, photocopying, collating and binding of documents. Assistance with preparation of Executive Reports and other Executive material. Assistance with preparation of Board Reports and other Board materials.
- Assistance with preparation of Weekly and Monthly Project Reports. Proof and assist in the compilation of reports and submissions including binding. Special projects and other Executive tasks and errands on behalf of the Chief Executive Officer and the Honeycombes Executive, as and when required.
- Manage a CRM System. Format information for internal and external communication – memos, emails, presentations, reports, brochures, spreadsheets. Manage information flow in a timely and accurate manner. Act as the point of contact among executives, employees, clients and other external stakeholders
- Brand custodian to ensure consistency and professionalism. Carry out research and analysis that may be needed for projects. Carry out special projects as allocated by the Executive. Co-ordinate project-based work. Review operating practices and implement improvements where necessary.
- Oversight of corporate software packages including Microsoft Suite of products and introduced software to ensure business priorities are met. Monitor designated tasks progress and prepare reports for the CEO on progress and implement any actions.
- Communicate with staff, stakeholders and clients to achieve corporate strategies and objectives are met. Assist the Executive with administrative support for investments, investor support and research. Conduct research, collect and analyse data to prepare reports and documents for the Executive.
- Complete ad hoc tasks for other business leaders as requested. Constantly monitor the secure files and confidential information in the Executive areas. Run errands and post client gifts etc. Screen all calls and visitors for the Executive Team.
- Review and summarize contracts and recommend suppliers. Organise Team Functions. Organise Director and Executive Retreats.
