The role:
This Unique Executive Assistant / Group Administration Manager role consists of assisting & overseeing all Global responsibilities on behalf of and in communication with the Managing Director who resides in Broadbeach Waters, Gold Coast. Most communications will be done via email and WhatsApp with a weekly in person meeting and more as needed.
We are looking for the right person to assist and manage administration across the small Group of Companies Globally. These include the Global Award winning Wellness Retreat business ‘Bliss Sanctuary For Women’ in Bali, Our founders personal brand zoeblisswatson.com, and assist with an exciting new online Global Wellness Startup and virtual office in Dubai, as well as an Australian investment company managing properties.
Whilst there is an extensive global network of companies from Australia, Indonesia, Hong Kong and Dubai, all is managed online. This relies on dropbox management, a basic understanding of Xero, phone conversations with our Bali managers, dealing with external accounting companies, liasing with our public relations company, basic marketing assistance and fostering relationships with important partners. This role is about being the person that gets things done in all different areas on behalf of the MD, with full transparency.
To fulfill this role you need a quiet & dedicated working environment from home, a car and valid license. You need to thrive working autonomously and be a self starter relying on your own logic and being able to look things up and follow procedures.

Responsibilities:
This role will be responsible for but not limited to…
- Managing virtual offices and overseeing virtual PA in the Philippines
- Provide administrative support to the Managing Director, including email and basic calendar management
- Providing reports & context on all areas of the business
- Baseline IT support as needed
- Dropbox management
- Liaise with Bali management team and report all elements to MD
- Liaise with external accountants
- Overseeing or assisting with various marketing tasks, such as website management, overseeing social media &
- Supporting the MD with full transparency
- General assistance to the MD - running errands and other ad-hoc tasks
- Manage your own home / online office efficiently and effectively
Skills and requirements:
- Excellent written and verbal communication skills
- Intermediate to advance skills Dropbox
- A whizz on Excel and Microsoft Office suite
- Experience with virtual meeting platforms (Zoom, Google Meet, Teams)
- Experience with Xero
- Strong organisational and time management skills
- Some basic IT knowledge
- Researching and finding relevant information and best ways to get things done
- An amazing attitude and able to handle adversity and strong personalities with a humble approach
- A passion for wellness & working with women
