This is an excellent opportunity for a highly experienced and agile Executive Assistant who is looking to work within a fast-paced and very successful South Australian based business.
This role will provide comprehensive hands-on support to maximise the efficiency and output of the Executive using highly effective organising, planning, scheduling, and coordinating skills to help manage communication, deliverables, and workload management.
Key Responsibilities:
- Management of all channels of communications (email, phone, and in-person), triaging and prioritising requests and issues.
- Effective diary management, scheduling and coordinating meetings and ensuring the Executive is adequately briefed and fully prepared.
- Provision of high-quality prompt service to internal and external stakeholders, representing a strong personal brand, and on behalf of the Executive and organisation.
- Preparation and coordination of general correspondence and documentation including but not limited to reports, presentations, papers, letters and other formal or informal communication.
- Efficient preparation of meeting agendas including collating documentation, presentations, and other key information or specific requirements.
- Travel bookings, office management and any other activities requiring administrative support.
- A minimum of 5 years’ experience in an Executive Assistant or Office Manager role.
- Experience working in a busy and fast-paced business where priorities are continually changing.
- Ability to plan for and meet tight deadlines.
- Agility and flexibility to anticipate the requirements of stakeholders and adjust appropriately to ensure effective outcomes and key deliverables are achieved.
- A positive attitude with a strong focus on service and support to others.
- The ability to maintain composure in a busy environment to deliver on requirements.
- High level of demonstrated experience using initiative, effective planning and coordinating of tasks and people.
- Extensive experience in preparing high quality written communication with exceptional quality and attention to detail.
- Highly effective relationship building and interpersonal skills with employees across all levels of the organisation, and external stakeholders.
- A valuable team player who adapts and flexes to the needs of others.
- Advanced MS365 skills.
- A reliable vehicle and driver’s licence.
