YOUR ROLE
As the Executive Assistant to the Bunzl Safety and Lifting Managing Director and Finance Director, you will play a pivotal role in ensuring the smooth operation of their day-to-day activities. Your responsibilities include:

  • Managing Calendars and Appointments: You will be in charge of organizing and maintaining the calendars of the Managing Director and Finance Director, ensuring efficient scheduling and coordination of their appointments.
  • Travel Arrangements: You are responsible for booking travel for the Executive Leadership team and other employees as needed, managing all aspects of travel logistics to ensure seamless trips.
  • Document Preparation and Correspondence: You will prepare reports, presentations, and correspondence for the Executive Leadership team, ensuring high-quality materials are produced.
  • Office Management: Overseeing the maintenance of office facilities, supplies, and services, you will ensure that the work environment is always at an optimal level for productivity.
  • Meeting Coordination: This includes taking minutes at meetings, following up on key actions, coordinating catering, and managing all logistics for internal and external meetings.
  • Email and Correspondence Management: You will handle incoming correspondence, including emails, and manage the reconciliation of expense statements for the Managing Director and Finance Director.
  • Project Support: Providing support on major change projects, new initiatives, and business-wide announcements, you will be a key player in the implementation of these projects.
  • Research and Reporting: Performing research activities as directed and ensuring that monthly management reports are produced and distributed in a timely and comprehensive manner.
  • Receptionist Oversight: Direct accountability for receptionist activities, ensuring professional and efficient front desk operations.
  • Environmental and Corporate Responsibility: Actively participating in the company's environmental initiatives and adhering to the Corporate Responsibility Policy.
ABOUT YOU
Experience:
  • At least 5 years of experience in senior Executive Assistant roles within large organizations.
  • Proven ability to navigate and excel in an ambiguous and constantly evolving landscape.
  • Demonstrated experience in managing multiple stakeholders and priorities.
