Indigeco Recruitment has partnered with an NFP organisation in Canberra to source an Executive Assistant. This position will be offered on a fixed-term contract of up to 2 years with possible extensions.
The Executive Assistant will work directly with the Executive Director and will be responsible for providing administrative and secretariat support to the Executive Director and Executive Officer.
You will be organised, adaptable to change, and possess the ability to prioritise, multi-task, and display a high level of accuracy and attention to detail. You will work collaboratively with others and demonstrate an ability to achieve results in a busy, fast-paced environment.
There is a preference for an Indigenous/First Nations candidate for this opportunity.
KEY RESPONSIBILITIES:
- Develop and implement processes and practices and identify opportunities to improve workflows in and out of the office of the Executive Director.
- Email, diary, and calendar management, including anticipating requirements, prioritising meetings, and initiating the timely provision of material for all meetings and other engagements.
- Support the Executive Director in the review and preparation of a range of submissions, reports, correspondence, and briefs, and where relevant provide feedback and liaise with Directors and internal stakeholders.
- Undertake administrative tasks such as assisting with research, coordination of responses, and assigning tasks on behalf of the Executive Director.
- Use the document management system, SharePoint to file and access meeting materials on behalf of the Executive Director.
- Arrange meeting venues, video conference bookings, and provision of catering and liaising with stakeholders to coordinate meetings, events, and other matters.
- Contribute to activities such as work area planning, supporting organisational change, and identifying improvements to processes and practices.
- Experience in a similar role and the ability to work in an ever-changing environment. ability to work in a team environment whilst maintaining the confidentiality required for this position.
- Experience working with Aboriginal and Torres Strait Islander peoples including the ability to engage effectively.
- Experience using MS Outlook and SharePoint.
- Well-developed written and oral communication and research skills.
- Demonstrated ability to perform an Executive Assistant role to a senior executive.
- Demonstrated note-taking skills.
- Well-developed interpersonal skills with a high level of integrity and commitment to ethical behaviour.
- Highly developed cultural competency, a deep understanding of the issues affecting Aboriginal and Torres Strait Islander Peoples and communities, and a commitment to ongoing self-development of cultural competency.
