The Organisation and the Role
Our client is a privately owned clinical services organisation made up of a team of dedicated and highly skilled team of practitioners who provide specialist clinical support and make a difference to individuals, families, organisations, and communities. They specialise in behaviour support, training, assessments, complex consultation and therapy
We are looking for an assertive EA who is an exceptional operator that is willing to join a business experiencing exponential growth. This is a remote position so you will need to be self motivated , assertive and have the capacity to roll with the punches or deal with problems as they arrive. This position will start out on a 3 day per week basis with a view to going full time as the workload increases.
Duties include but are not limited to :
Assisting all key executives
Delegation of administrative tasks to admin team
Systems Administration and maintenance of access
Manage meeting schedule and attendees on behalf of Executive Team
Meeting Preparation, Collation of Material, Attendance and Minutres
Ensure filing of minutes and documentation
Oversight of key actions and ensure follow up is completed
Report back to CEO
Travel Bookings (Flights/Accom/Phone Management etc)
Manage meeting schedule and attendees on behalf of Executive Team
Meeting Preparation, Collation of Material, Attendance and Minutres
Conference Room booking for clinical meetings etc
Assisting in HR activities and pulling together of material to assist in recruitment
Relationship Management where specific to Executive Roles
On-Call during non-work business day
Criteria:
Bachelor's degree preferred.
Proven experience as an Executive Assistant or similar role.
Proficient in Microsoft Office Suite and other relevant software.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Proactive problem-solving abilities and attention to detail.
Flexibility to adapt to changing priorities and deadlines.
Previous experience in a similar industry or environment is a plus.
Working Conditions:
This position typically requires you to work from home. The clinical team undertake supervision once a quarter therefor , there may be an expectation for you to attend a major city once a quarter.
May require occasional overtime or weekend work to meet deadlines or accommodate executive(s)'s schedule.
