The Executive Administration Assistant is responsible for supporting the CEO's office and the Board through secretariat duties and organisational governance responsibilities.
In conjunction with the Executive Assistant, key responsibilities will be to support the functions of the Chief Executive Officer including:
- Provide highly confidential secretariat support to the CEO's office;
- Provide a high level of customer service to all stakeholders;
- Diary Management for the CEO
- Be the first point of contact for telephone calls for the CEO;
- Co-ordinate travel and accommodation arrangements on behalf of the CEO
- Manage appointments for the CEO in an effective, professional and timely manner;
- Ensure the CEO is prepared for meetings with relevant papers, etc;
- Actively support the Leadership Team to prepare papers and documents for the CEO;
- Provide Board Executive support;Proactively manage the Board systems to ensure effective processes are in place for compliance with governance requirements and obligations
- Prepare Board and Committee meeting agendas, and ensure compliance with distribution/circulation systems and timelines
The ideal candidate will have the following skills and experience:- A minimum of five years' experience as an Executive Assistant or experience working in a C-Suite environment;
- Demonstrated proficiency in the use of Microsoft Office applications particularly Word, PowerPoint, Excel;
- Proven ability to work independently as an Executive Administration Officer with minimal supervision and as part of a small team;
- Highly developed organisational skills, including experience in managing/coordinating meeting schedules and managing conflicting work priorities whilst delivering quality work outputs within tight timelines;
- Demonstrated well developed written and oral communication skills; well developed problem solving skills;
- Demonstrated ability to plan and prioritise work to meet deadlines
