We have an exciting opportunity for you to join our team as Business Manager/ EA. Reporting to the Regional Managing Director – JASK, this full-time and permanent hybrid position can be based either in Vistra Melbourne or the North Sydney office, and offers regional coverage, allowing you to make a significant impact to Vistra’s growth.
Our hybrid arrangement is WFH 3 days per week.
Key responsibilities:
- Deliver project management support, including management of timelines and coordination of project tasks and activities; NPS project coordination with the Operations team.
- Support the Service Delivery Heads in project preparation & execution.
- Lead the Operations admin team in Australia, oversee Commercial Admin support and act as the escalation point for Facilities.
- Provide essential administration and coordination support to business leaders, ensuring the smooth execution of day-to-day operations and project initiatives.
- Assist teams and Regional Managing Director in project managing various initiatives in the country, including project managing office moves nationally (Sydney and Melbourne)
- Manage the compliance remediation requirements (such as maintaining & tracking insurance of Australia) whilst leading the BCP programme with Compliance and IT leads.
- Oversee RMD diary, including a high volume of internal and external meetings.
- Provide all other administration support to Country MD by attending various meetings, coordinating agendas, taking notes and ensuring follow-up actions for regional/country attendances are tracked and delivered.
- Coordinate domestic and international travel and prepare itineraries for transport, and accommodation, and organise events as required.
- Act as a gatekeeper, screening emails and handling inquiries promptly and efficiently, and proactively ensuring Executives are updated and are attending the right sessions.
- Develop presentations, reports, and business proposals with a key eye for detail and professionalism as required; and provide backup for commercial support.
Key requirements
- University graduates preferably with a business, or related degree.
- Minimum of 5 years of relevant experience in executive support gained through working in financial services, legal or professional firms within multinational companies.
- Proven track record in managing and executing executive support activities in a complex and geographically dispersed organization.
- Strong project management and organisational skills; ability to manage multiple priorities, projects, and deadlines.
- Effective relationship-building skills with the ability to communicate and work with all stakeholders both internal and external.
- High proficiency in working with systems and software, such as MS Office suite of products and project management tools.
