Executive Assistant

The Executive Assistant is responsible for providing dedicated support to their relevant executives. The role is a shared service to support both senior Executives and subsequent operational functions which fall within their respective remit. This includes but is not limited to providing high quality administration support across a range of associated administrative tasks, secretarial duties and driving the execution of projects in relation to property operational activities. The position may also be required to provide support to other Executives and/or senior managers as required.
Key responsibilities:
Coordinate the Executives daily schedule and assist in following up deadlines, arranging meetings, briefings and travel arrangements.
Provide high level administrative support to the Executives, including answering phone calls, managing emails and responses and diary management as required.
Prioritise incoming work, queries, projects and requests on behalf of the Executive to ensure they are able to meet the needs to their stakeholders and business.
Prepare reports, meeting materials, internal communications and meeting minutes.
Prepare board reports, operational updates, presentations and summaries for the Executive team and Board where required.
Liaise and partner with senior management teams to collate operational financials and performance data for reporting requirements.
Maintain and update internal correspondence and assist with external mail service for the Executives.
Build and maintain strong working relationships with clients and internal stakeholders.
Meet and greet all customers and guests with Crown Brand Standards at all times.
Be responsive to incoming calls, emails and correspondence on behalf of the Executive and forward information to relevant Executive as required.
To coordinate and conduct the efficient handover as required ensuring relevant issues are communicated and actioned accurately in a timely manner.
Prioritise work to meet all service demands, ensuring all work is completed efficiently with maximum output.
Key selection criteria:
Extensive senior management and administrative support experience in a similar role.
Extensive experience working in an Executive Assistant position.
Significant experience in stakeholder management including working with senior management, internal teams, external clients and customers.
Significant experience managing the Executive level management and leadership teams.
Advanced knowledge of Microsoft Office Suite.
Proven ability to work in demanding situations with commitment to deadlines and timeliness activities.
Excellent communication skills, including written and oral.
Preferred work experience from a similar industry of hospitality, gaming and/or resorts.
Preferred work experience managing multiple stakeholders and teams.
