About The Role
The Executive Assistant provides a range of high-level administrative support to the Chief Operations Officer – Victoria (COO) and Chief Quality Safeguarding & Practice Officer (CQPSO), with the support of an administrative assistant.
You will ensure the effective day-to-day running of the office of the COO - Vic and CQPSO by providing proactive administrative support:
- Work in a role that is a 50/50 split between the COO and CQPSO
- Coordinate meetings and events, including drafting/developing and distributing agendas, high-level minutes and action lists
- Coordinate and format information for internal and external communications – board reports, memos, emails, presentations, reports
- Monitor and direct incoming calls, emails and other correspondence for COO and CQPSO with a high level of discretion and integrity
- Assist with administrative support required by the Senior Leadership team
About You
- As this role is supporting both the COO and CQPSO evenly split, we are seeking someone with experience with balancing conflicting priorities
- Extensive experience in proactive diary management and providing broad administrative support to Executive/CEO/Board
- High-quality customer service skills, including the ability to build rapport and strong relationships
- High degree of professionalism and judgement with the ability to maintain a high level of confidentiality in all situations
- Highly developed written, verbal and communication skills, including the ability to liaise with a diverse range of people and stakeholders
