Executive Assistant
Delivers prompt results in completing professional level work for the CEO.
Secures detailed and comprehensive travel plans and coordinates itineraries for multiple parties using multiple modalities, prioritizing the CEO and the CEO's visitors.
Assists in project management for special initiatives, events and gatherings.
Manages an extremely active calendar of appointments and meeting schedules for the CEO and ensures the CEO's schedule is followed and respected.
Administrates calendar schedules for meeting rooms and company car utilization.
Communicates directly with the NT Christian Schools Senior Leadership team and others at the direction of the CEO.
Appropriately manages confidential data and information in the form of emails, e-filing, calendar appointments, video conference, phone calls, personal notes and paper.
Completes meeting agenda creation and actively takes meeting minutes, with the capacity to develop resources for later distribution.
Creates official correspondence documents with professionalism and accuracy.
Supports productive relationships with a demonstrated ability to work as part of a team and independently and with people at all levels of the organization. Reception
Greets and attends to all visitors in a prompt, professional and friendly manner, welcoming them with care, patience and undivided attention.
Answers all incoming telephone calls with an engaging and welcoming manner, transfers calls to relevant staff members or takes messages as necessary.
Handles mail, deliveries, catering and office supply orders for the System Office.
Manages the paper-based archiving process for the office, ensuring there is a proper, documented, process in place for easy archiving and retrieval of files from storage.
Assists office staff with administrative tasks as and when available to do so.
Coordinates and schedules routine office priorities like annual devotional rosters, office meetings, holiday and birthday cards and celebrations.Financial
Reconciles and processes credit card purchases, invoices and other relevant forms.
Codes relevant expenses correctly in the ERP system on behalf of the CEO.
Maintains records of expenses, receipts, and invoices. Other Duties
Ensures correct work, health and safety procedures are established and followed in the Berrimah Systems Office including, but not limited to, first aid and fire warden representative assignments, training and availability within the office.
Maintains first aid supply stock and inventory and ensures a hygienic environment.
Ensures the office is clean and presentable at all times including the Boardroom and meeting spaces.
Orders stationery and copy room supplies for copy room.
Complete any other duties as assigned.Desirable
Experience supporting a Chief Executive or Executive Manager.
Graphic design, PDF, Canva, document creation ability.
Previous experience supporting medium sized organization with multiple locations.
Previous experience working within an educational organization.
Diploma in Business Administration or relevant qualification.
