Our client, a leading global Private Equity business, is seeking an Executive Assistant to join their dynamic team in Sydney CBD.
The role is providing support to Head of Private Equity and the wider ANZ Investment team. In this role you will be juggling coordination of meetings across different timezones, organising extensive travel arrangements (itinerary, accommodation, flights etc.), putting presentations and meeting documents together and getting involved in project management and event planning.
The team is high-performing, fast-paced, friendly and social. You will be working in a team of incredible EAs in a stunning office with Sydney Harbour views.
Please note this role is predominantly office-based (5 days a week), with a possibility of 1 day WFH.
What you'll do:
- Schedule meetings and calls involving multiple parties across different time zones
- Support the team with the planning and implementation of projects
- Plan and coordinate business and team events, including social events
- Prepare reports, presentations, and data, as well as maintain files, records, and correspondence for meetings
- Research and arrange travel, including flights, hotels, cars, and trains across Asia and globally
- Ensure timely and accurate submission of expense reports
- Process visa applications for various countries
- Manage work permit or other status requirements for team
- Manage/update contact information/business cards
- Provide administrative support as required
What you bring:
The ideal candidate for this Executive Assistant role brings along at least 7 years of relevant experience in similar roles. You are friendly, detail-oriented, and professional with a proven track record in project management and delivery. Your strong communication skills enable you to build relationships with stakeholders effortlessly. You are aware of the importance of handling confidential information and have a team player attitude
