Executive Assistant to CEO
  • Full-time permanent role, based out of Lewisham (2049) offices.

Role responsibilities

The Executive Assistant will be a key partner to the CEO and will play an integral part in achieving their strategic objectives. The focus of the role is to provide sophisticated, executive level administration support to the CEO, as well as build effective relationships with the broader leadership team.
  • Provide executive support to the CEO including diary management, email management, travel, document management and general administrative support.
  • Maintain effective relationships with key contacts and relevant stakeholders and ensuring appropriate responses are provided and that clear and comprehensive details are taken and delivered.
  • Support the administration of Board meetings, Board dinners and set up for meetings.
  • Schedule and coordinate internal and external meetings; respond to meeting requests, ensuring the most efficient use of time by the CEO.
  • Effectively coordinate and follow-through of the activities and commitments of the CEO including the production of an annual calendar of key dates (this is done by the Governance Team and Company Secretary).
  • Proactively follow-through on behalf of the CEO, tasks delegated to ELT members and Directors and resolve issues or escalate as needed.
  • Co-ordinate the calendar of ELT meetings including the setting of agendas, confirmation of minutes and follow-through of agreed actions.
  • Provide secretariat support, including administration and minute taking for all ELT meetings.
  • Ensure that all of the CEO’s meeting documents, correspondence and other documents are prepared and appropriately filed.
  • Manage the CEO’s expenses.
  • Provide leadership, coaching and mentoring to a team of Executive Assistants.
  • Work as part of the EA team and back-up other EAs over leave periods, large full company events (eg CEO Sleepout).

Essential Requirements


You will have strong organisational/time management skills and the ability to juggle multiple tasks. You will have the initiative to make this role your own, be assertive and proactive to ask the right questions and achieve the results required.
  • Extensive experience supporting Senior Executive Managers and/or Board Directors;
  • Demonstrate effective time management, high level of initiative, enthusiasm, drive and energy.
  • Strong interpersonal, rapport building, and communication skills including the ability to establish and maintain professional and constructive relationships with the Board, State Council, management, members, volunteers and staff and external parties to achieve required business outcomes.
  • Experience with working with corporate governance frameworks.
  • Extensive experience in minute taking at an executive level.
  • Advanced skills in Microsoft Office suite (Word, Excel, Visio, PowerPoint, Outlook) and experience in the coordination of document management systems (SharePoint)
  • High level experience in diary management including planning, organising and prioritising work.
  • Commitment to strict confidentiality and demonstrated ability to show discretion and tact.
  • Ability to work with a diverse group of individuals and relate well to those we assist with understanding and empathy surrounding the issues affecting them.
  • Willingness to work a flexible schedule to achieve the needs of the CEO, including some evenings and weekend to support the Board of Directors.
  • Ability to work as a team member that fosters a team approach and willingness to adhere to and work within the Mission and ethos of the Society.
  • Successful candidates will be undergo a Working with Children Check, and a National Police Check.
