This varied role is primarily the personal assistant to the CEO and CFO while also managing their offices, meetings of the Board of Directors and providing other administrative support to operational activity. Every day will be different and will provide a new challenge.
Key Responsibilities
- Provide the highest level of executive support to the CEO and CFO including diary management, appointments, organising travel, maintaining and tracking work activities.
- Draft, review and edit correspondence, presentations and other documents on behalf of the CEO.
- Facilitate communication between the CEO and other team members, ensuring timely follow-up on action items and requests.
- Manage all aspects of the office, including any refurbishment work, ordering stationary, record-keeping, and other duties associated with day-to-day activity.
- Prepare agendas and papers for the Board of Directors, coordinate meetings and organise refreshments.
- Attend Board meetings approximately one evening per month, taking minutes as required.
- Liaise and work collaboratively across the organisation and with external stakeholders.
- Take the initiative to identify areas for process improvement and implement solutions to enhance efficiency and effectiveness.
- Exercise sound judgment in dealing with confidential matters and maintain a high level of professionalism at all times.
- Execute all assigned activities accurately and in accordance with prescribed standard procedures within specified time frames.
Experience
- Proven experience in an Executive Assistant or Office Manager role.
- High attention to detail, proficiency in managing multiple tasks efficiently, and discretion in handling confidential information.
- Proactive approach to problem-solving, seeking out innovative solutions to challenges, and showing readiness to adapt to evolving needs.
- Good working knowledge of Microsoft Office. Experience using Diligent Boards software an advantage.
- Must have an excellent standard of written and spoken English and rights to work permanently in Australia.
