The Geelong Clinic Executive Assistant 60 hours per fortnight The Geelong Clinic is a 73 bed private Psychiatric hospital that has recently expanded and offers a wide range of inpatient and day programs supported by an Outreach service for individuals requiring mental health care. Located on the outskirts of Geelong, within close proximity to spectacular coastal attractions, the hospital operates two busy onsite outpatient practices which have additional capacity as part of our expansion project. The Geelong Clinic is seeking to appoint an Executive Assistant in their dynamic and professional team. This is a great opportunity for individuals with excellent customer service skills to step into a rewarding career. Key Selection Criteria: · Advanced computer skills including Microsoft Word, Excel and PowerPoint · Advanced communication skills (both written and verbal) · Minute taking experience · Ability to manage multiple projects and deadlines · Ability to work autonomously as well as within a team · Flexible to work a variety of shifts As a Executive Assistant your responsibilities will include providing administrative support in the following areas: A coordinated approach to secretarial and administrative services to the Executive teamLiaising, as required with staff, VMOs, GPs, together with internal and external customersEnsuring telephone calls are answered correctly and promptly and messages are forwarded to the relevant Executive staff membersEnsuring confidentiality is maintained at all timesEnsuring the standard of customer service delivery is exemplary to both internal and external customersParticipating in the site's WHS/Quality/Risk program, accredited and departmental meetingsOther delegated responsibilities as negotiated by agreementCoordinate meetings, agendas and minutesManage diary appointments, travel and meeting bookings for appointed executivesConduct HR administration tasks including employee contracts, visa co-ordination and employee on boardingFacilitate credentialing of VMOs and clinical staffMaintain HR file management and upkeepEnquiries and Applications to:Tony WallaceThe Geelong Clinic98 Townsend Road,St Albans Park Victoria 3219Telephone 52400700tony.wallace@healthscope.com.au Applications close: 1st March 2024 To Apply: Please click on the 'Apply' button to be taken to our online application form.
