Candidates must have a Baseline security clearance.
The Executive Coordinator will be responsible for supporting the Executive Director and the general coordination and reporting activities across the allocated Group. You will be an important point of contact for the Group and provide executive support and administrative services to the Executive Director including but not limited to:
· Having responsibility for managing:
o Scheduling and logistics of meetings / Diary management
o Plan appointments and events
o Travel arrangements
o Preparations for meetings
o Follow-up actions from meetings
· Assisting with, and coordinating, group administration.
· Point of contact between Executive and staff.
· Providing secretariat support for Group meetings, including compiling the agenda, disseminating papers, taking minutes, and following up actions.
· Developing systems, procedures, and controls for quality assurance and to ensure well-managed, monitored, and timely workflow.
· Coordinating, tracking, and responding as appropriate to incoming correspondence and other documents.
· Review and update briefs, create reports as well as other communications.
· Establishing strong working relationships across the groups and institute.
· Communicating professionally and respectfully with internal and external stakeholders at all levels.
