About the Role

The Executive Coordinator will be responsible for supporting the Executive Director and the general coordination and reporting activities across the allocated Group. You will be an important point of contact for the Group and provide executive support and administrative services to the Executive Director including but not limited to:

Key Duties

  • Having responsibility for managing:
    • Scheduling and logistics of meetings / Diary management
    • Plan appointments and events
    • Travel arrangements
    • Preparations for meetings
    • Follow-up actions from meetings
  • Assisting with, and coordinating, group administration.
  • Point of contact between Executive and staff.
  • Providing secretariat support for Group meetings, including compiling the agenda, disseminating papers, taking minutes, and following up actions.
  • Developing systems, procedures, and controls for quality assurance and to ensure well-managed, monitored, and timely workflow.
  • Coordinating, tracking, and responding as appropriate to incoming correspondence and other documents.
  • Review and update briefs, create reports as well as other communications.
  • Establishing strong working relationships across the groups and institute.
  • Communicating professionally and respectfully with internal and external stakeholders at all levels.

You will be aware of the Commonwealth Aboriginal and Torres Strait Islander Cultural Capability Framework and ways of knowing, doing and being.
In particular, you:

  • Understand Aboriginal and Torres Strait Islander business within the agency and the outcomes the agency is responsible for delivering.
  • Engage with Aboriginal and Torres Strait Islander colleagues and employees in a sensitive and equitable manner.
  • An understanding of the AIATSIS vision to create a world in which Aboriginal and Torres Strait Islander people's knowledge and cultures are recognised, respected, celebrated, and valued.
  • Take the perspective of others, seeking to understand Aboriginal and Torres Strait Islander peoples' point of view and experiences.

Skills and Qualifications

  • High level competence and capability in undertaking a diverse range of organisational and administrative tasks, as successfully demonstrated in similar previous position(s)
  • Demonstrated ability to set priorities, meet deadlines and work flexibly and autonomously.
  • Ability to communicate professionally and respectfully with a wide range of internal and external stakeholders at all levels
  • Demonstrated proficiency in written and verbal communication skills, including the ability to concisely summarise information.

What's on offer

The successful candidate will notionally be offered an APS6 non-ongoing position. This position is based in Canberra.

As this role is with the Federal Government, only Australian citizens will be considered for this vacancy.
