The purpose of this ongoing full-time role is to provide quality and confidential executive level administrative support to the Chief Executive Defence SA to facilitate the achievement of the agency's strategic objectives.
- Diary and email management for the CE Defence SA. This includes arranging emails to receive appropriate priority from the CE, anticipating the CE’s needs and priorities in the planning of daily events and commitments, and arranging appointments and meetings by taking the initiative to resolve any conflicts in appointments.
- Perform general administration tasks including document management, prepare/assemble materials and documents for meetings, catering, equipment set up, maintaining the CE distribution list and arranging couriers as required by the CE.
- Manage the flow of incoming/outgoing correspondence for the Office of the CE whilst also being required at times to assist with the whole of organisation correspondence coordination.
- Coordinate meetings for the CE, including coordination of attendees, organising pre-briefs where required and preparation of meeting minutes.
- Communicate and liaise with all levels of the public and private sector, Senior Departmental Officers, and Ministerial Officers on behalf of the CE.
- Process payments of invoices for the CE.

The successful candidate will have great organisational and time management skills, including the ability to prioritise and manage high volumes of work in a rapidly changing environment. You will have excellent interpersonal skills, be a quick thinker and love the variety that this job will bring.
You will be a suitably qualified and experienced administrative specialist who enjoys getting involved in a range of matters and issues that Defence SA deals with on a daily basis. You will be the front face of the Chief Executive’s office and be able to take the initiative to research and provide options on a range of solutions as required.
You will also have a proven ability to provide confidential executive support to a senior executive and dealing with highly sensitive and/or political issues with tact and diplomacy, whilst maintaining complete confidentiality.

Defence SA is a key economic development agency within the South Australian Government focussed on defence and space industry development. Key Selection Criteria:
- Demonstrated experience in providing specialised high level executive support.
- High level of communication skills with experience in liaising with internal and external stakeholders and senior executives.
- Proven experience in organising and maintaining relevant documentation for meetings with experience in preparing board, committee and meeting submissions, papers and minutes and follow up on actions arising.
- Government experience is highly regarded but not essential.
- Experience in the defence or space sector will be highly regarded.
- Demonstrated ability to develop and implement innovative solutions to and adapt to changes within a fast-paced, dynamic environment.
- Ability to work under pressure.

Special Conditions
This is an ongoing position. The incumbent is required to enter into a performance agreement. Work outside of normal hours will be required and the position may require interstate travel involving overnight absences.
The successful applicant must be willing to obtain an NV1 security clearance.
Remuneration
ASO5 - $84,522 min - $94,003 max per annum, plus superannuation
