Your new role
The Executive Support Coordinator reports directly to the Chief Executive Officer and works closely with the Human Resources Team Leader, Board and Executive Team, as well as a very broad range of stakeholders including Government funders, commercial partners, regulatory agencies, mental health sector organisations and other external parties. The Executive Support Coordinator will be responsible for providing a range of prompt, high quality, confidential administrative and Executive Support to the Chief Executive Officer, Executive Team and Board. Duties may include and are not limited to:Provide high level of Executive Support to CEO including research and project support, coordination of meetings, travel, record and register management
Assist in the preparation of briefing notes, drafting correspndence for the CEO to ensure timely and effective communication
Assist the CEO in matters relating to all boards and committees, including liaising with board members, preparing all documents and presentations for board meetings and providing minutes
- Coordination of Board orientation and induction materials, maintaining a record of Board training, induction and other support activities, coordination of Board orientation and induction materials, maintaining a record of board training, induction and other support activities
Manage the administration of memberships
- Research, coordinate and prepare the compilation and dissemination of information about issues impacting the organisation.
- Manage the review and creation of required Board documents in consultation with the Chief Executive Officer
- Monitor multiple outlook inboxes and provide support for roles within Business Services as required
- Assist in the development and maintenance of all Business Supports policies and procedures in conjunction with other members of the Business Supports team
- Provide administrative assistance to HR team as required
What you'll need to succeed
- Minimum of a Certificate IV in Business Administration or equivalent experience of three years.
- Experience in providing a range of high level administrative/Executive Support services, including preparation of correspondence and minute taking.
- Competent use of a range of computer systems, including email and Office 365 and willingness to learn other systems as required.
- Demonstrated high level written and interpersonal communication skills, with the ability to interact with a diverse range of people.
- Demonstrated ability to be flexible, manage workload, in a changing environment, and prioritise to ensure deadlines are met.
- High level of accuracy and attention to detail and instructions.
- Action orientated, flexible, innovative approach and a demonstrated willingness to assist others.
- Demonstrated ability to analyse and exercise good judgement, discretion and confidentiality in problem solving.
