What this job involves:
Due to business success and growth, we have an opportunity for an Executive Team Assistant to be the dedicated administration and marketing support to the Value & Risk (Valuations) Advisory business in Queensland.
Reporting to the Head of Value & Risk Advisory, you will responsible but not limited to:
- Coordinate the production of texts and lengthy documents, presentations and submissions, ensuring a quality final product (layout, grammar, language)
- Assist in the preparation of correspondence, valuation reports, proposals, submissions and other documentation
- Key liaison between and management of professional support services
- Arrange payment of accounts associated with the team, including purchase orders.
- Monthly invoicing and monitoring of team fee forecast
- Assist to organise and host client events
- Co-ordination of internal meetings, including preparation and clean-up of meeting room and organising catering.
- Event Co-ordination (staff and/or client events)
- International and domestic travel co-ordination
- Assistance in organisation of team meetings – agenda, minutes, distribution of required documentation.
- Hard and soft copy file management including set up of folders and archiving client files
- On-boarding newcomers / departure list
- Ordering team stationery (e.g. business cards, note books)
- Provide back up support for reception on occasion.
- Other tasks as required to support other administrative support team members.
- Demonstrate teamwork to all levels of the Business Unit in all aspects of work and help promote continuous improvement throughout the organisation.
- Effective at prioritising and multi-tasking
- Good communication skills both verbal and written
- Very high attention to detail
- Team player willing to help grow the business
- Experience formatting and editing lengthy documents
- Strong organisational skills
- Ability to deal with multiple tasks and work towards and achieve tight deadlines
- Ability to work autonomously and make sound decisions when required
- EA / Secretarial or equivalent role experience within a Professional Services organisation
- Advanced MS Office skills (In- Outlook, Word, Excel, PowerPoint)
- TAFE or Business Studies Diploma will be viewed favourably
