Eden Ritchie is seeking an experienced Facilities & Assets Officer to be responsible for coordinating and administering travel, telecommunications, motor vehicle fleet, and financial processes at Legal Aid Queensland. This includes purchasing goods and services, maintaining asset registers, coordinating room bookings, and assisting with projects and procurement works. Additionally, the role provides support for the allocation of equipment and assists with ad hoc maintenance and repairs.

- Coordinate and administer Legal Aid Queensland’s travel arrangements, including facilitating travel applications and approvals, reconciliation of allowances, maintaining the on-line booking system and coordinating travel related activities.
- Coordinate day to day telecommunications services including maintenance of telephones and mobiles, dealing with service providers, making adds moves and changes to the telephony systems, maintaining a register of telecommunication services and reconciliation of accounts.
- Coordinate the day to day motor vehicle fleet activities, including maintenance, basement parking, log sheet coordination and review, fringe benefits tax, replacement schedules and fuel cards.
- Assist with the financial processes supporting major projects or procurements including monitoring budgets, generating and matching purchase orders, recommending and approving expenditure and reporting on project expenditure.
- Purchase goods and services and office related items in accordance with the Queensland Procurement Policy, Legal Aid Queensland purchasing procedures and audit requirements, including the review of stationary orders and electronic tax invoice workflow processes.
- Assist with significant project or procurement works, particularly in the areas of telecommunications support and the procurement of furniture and equipment items.
- Maintain the asset register and portable and attractive items register; facilitate the physical movement of assets and equipment and update the appropriate registers in conjunction with replacement schedules and disposals; and assist with the annual non-current physical asset and portable and attractive stock take.
- Coordinate the room booking system, help set up rooms, prepare equipment and respond to enquiries about the use of room equipment.
- Coordinate the allocation of equipment items from the loan pool and maintain appropriate booking systems including auditing loan periods for the timely return of LAQ assets.
- Assist in arranging ad hoc and urgent maintenance and repairs for all premises and equipment, including regional offices.
- You have experience in the coordination of a variety of facilities functions including staff travel, telecommunication services and a busy motor vehicle fleet.
- You have knowledge of the Queensland Procurement Policy and procurement polices and procedures
- You have experience in supporting major projects and maintenance works including all financial aspects of the projects.
- You also have the ability to read and interpret documents such as legislation, policies, operating and maintenance instructions and procedure manuals.
- You are able to work independently, plan ahead and monitor task progress to ensure deadlines are met. You take on additional duties when required, demonstrate flexibility and reschedule or reorganise work to reflect changes in priority.
- You can build and sustain relationships with team members, other colleagues and external stakeholders. You provide courteous, prompt and professional services.
- You can use information technology systems such as Microsoft Outlook, Word and Excel and can learn organisation specific systems.
