About the Role
We're looking for an operationally-focused individual, who is a high-achiever, energetic, detail-oriented, organised, passionate about hospitality, and an excellent communicator to join our team. The Facilities Coordinator at Urban Rest is responsible for supporting the Operations team that delivers a flawless guest experience. A successful candidate would be a force for good, who learns quickly, teaches thoroughly, and keeps all stakeholders happy and engaged while not afraid of getting their hands dirty. This is a great role for someone experienced in the maintenance area looking to act in a key role within an Operations team that enjoys digging into and solving facility mysteries across multiple trades and building types.
Responsibilities
- Conduct basic maintenance tasks using hand tools such as assembling furniture, hanging artwork and minor ad-hoc jobs
- Hands on experience - solutions focused methodical approach to solving day-to-day maintenance items and those more challenging problems across multiple disciplines such as plumbing, appliance troubleshooting, access hardware and everything in between
- Carry out regular property inspections/audits across Sydney ensuring our properties are operating and performing their best
- Coordinate a preventative maintenance plan including coordinating periodic maintenance of electrical, HVAC, plumbing and other building or room equipment
- Source parts/materials and maintain inventory levels applicable to service associated apartments/rooms
- Manage onsite contractor(s) ensuring, meeting onsite, monitoring work and performance and ensuring repairs/works are carried out to to a stringent quality to meet safety and service standards of Urban Rest (UR)
- Comprise and execute contractor onboarding and induction to where applicable across our network of apartments/rooms
- Assist third parties with access requests
- Liaising with building Landlords and Property Managers
- Travel to various buildings/cities as required to complete necessary fixes/repairs or inspections
- Assist with projects or other specialized work as reasonably directed by management
- Ensure contractors are adequately trained or have the necessary certifications to complete works to a high standard
- Ensuring efficient repair schedules and reviewing repair cost estimates for approval by management
- Prioritizing maintenance and repairs of company equipment where required
- Where relevant (hotel style properties) ensure adequate legionella testing (where applicable) is conducted and reported
- Regularly inspect equipment in associated buildings (e.g Rheem hot water systems “The Sarah Hotel”), ensuring adequate servicing and temperatures
- Arrange and record battery replacements in associated equipment for guest access, Door lock systems, digital lock boxes or the like
- Maintain dedicated warehouse space / caddy and equipment storage areas to be safe
- Adhere to relevant safe work practices, WH&S and report potential risks for review.
- Complete stocktake of maintenance inventory on hand (SOH) ensuring adequate inventory within stock management system
- Ad Hoc tasks requested from time to time by management
What We Look For
- Previous experience in a coordinator/administration role working in the property/facilities/construction/maintenance field(s)
- A proven track record of prioritising tasks in order to meet tight deadlines- you will be working independently 70% of the time and therefore must be skilled in managing your own time
- High school diploma or equivalent
- Excellent written and oral communication skills, including the ability to identify and convey critical information to stakeholders quickly and precisely
- Basic understanding of mechanical, electrical, plumbing, and HVAC systems
- A perfectionist that obsesses over all the details
- Ability to take the initiative and problem solve independently
- Professional demeanour and strong ability to establish positive relationships with others
- Valid Australian drivers licence, comfortable driving a work van
- Strong ability to multitask
- Comfortable working with multiple groups within the business
- A background in construction, hospitality, residential or operations preferred
