Reporting to the Facilities Manager but also working with the Project Management Team, the role is principally facilities management focused (approx. 3.5 days per week) but also supports the Project Management Team (approx. 1.5 days per week).
About the Role
The Property team will rely heavily on you to be able to achieve their tasks and meet critical deadlines. With a wide scope of responsibility, you’ll need to manage your time effectively to complete your work and consistently meet your own KPIs and targets to ensure the team can progress with their work.
Every day in this role will be different, challenging you and keeping you on your toes! Your focus will be supporting the team with facilities administration, along with general administration duties.
Your day-to-day will include, but not be limited to:
- Maintaining the Facilities Maintenance portal, and allocating and monitoring work orders through to completion, making sure to provide regular updates to Stores, DCs and management where required
- Managing the Facilities email inbox, responding to enquiries in a timely manner
- Assisting the Facilities Manager with store compliance, approvals, essential services and safety obligations
- Coordinating materials handling equipment
- Coordinating both internal and external (trades and suppliers) stakeholders
- Liaising with Landlords
- Invoicing, reporting, raising purchase orders and budget administration
- Scheduling meetings
- Managing and maintaining electronic files
To be considered for this role, previous experience in facilities administration is desired. You will have a general understanding of facilities and property management with a passion to learn more! You will have strong communication and collaboration skills and be able to build strong relationships with internal and external stakeholders. You’ll have a flexible approach to your work, being adaptable to a constantly changing schedule and workload.
You’ll enjoy working in a team and be committed to helping the team achieve their goals, but you’ll also have the ability to work autonomously and prioritise your work. You’ll have intermediate Microsoft Suite skills, and you’ll be a quick learner with other computer programs and technology. Working knowledge of FSI – Concept Evolution (or similar) are highly regarded, but not essential. Above all, you will be committed to consistently delivering the best outcomes possible to our team and customers.
