Finance Officer and Service Administrator

We are seeking a passionate, driven, and knowledgeable Finance Officer and Service Administrator. The administrator will be responsible for the organisation and coordination of all administration operations and procedures to facilitate organisational effectiveness and efficiency under the guidance of the Director. This position will suit a motivated, committed and supportive administrator who is enthusiastic, enjoys responsibility and leads by example.
The position offers independence, (autonomy) to work as part of a small team, on a variety of tasks and an opportunity to apply a mix of financial management, HR & Employment Compliance, administration and leadership skills across key functions of the centre.
Key responsibilities include:
- supporting and improving operational processes
- financial management including MYOB transactions processing, Spike transactions for childcare fees, childcare subsidy, receipts and confidential information.
- accounts Receivable and Payable.
- payroll – fortnightly.
- monthly reconciliations.
- monthly BAS preparation.
- financial reporting and controls.
Requirements of the job
- Excellent communication skills (written & oral)
- Ensure high quality outcomes for the centre
- Liaise with other members of the staff team and the Management Committee in the development of policies and procedures
- Ability to effectively manage own timelines
- Accountable for all financial systems, procedures and outcomes – budgeting, reporting, analysis and recommendations
- Accountable for all administration systems and processes
- Attends out of hours meetings and training where necessary
- Works with the Committee – specifically the Treasurer, third party accountant/auditor to ensure effective financial management of the Centre
Main Job Tasks and Responsibilities
- Support the Centre’s Philosophy of care
- Delivery of high-quality administrative work
- Provide a high level of assistance to the Director in a multitude of tasks
- Financial leadership for the Centre
- Maintain a safe and secure working environment
- Manage all financial enquiries
- Complete end of month financial reports including BAS
- Month end reconciliations – superannuation, tax records, bank statements, childcare benefits, fee income
- Prepare financial reports to Director and committee – balance sheet and profit & loss statement
- Manage external audit program
- Reconciliation and preparation of comprehensive reports to members
- Manage daily ordering site administration.
- Prepare financial statements
- Maintain fixed asset register
- Budget development, implementation and monthly reporting
- Statutory financial reporting – including Periodic Return
- Weekly recording of attendances and tax invoices
- Manage income to the Centre

Education and Experience
- Business or accounting diploma, degree or equivalent
- A number of years administrative experience
- Knowledge of accounting, data and administrative management practices and procedures as it applies to a non-profit or organisation
- Knowledge of human resources management practices and procedures
- Knowledge of business and management principles
- Computer skills and knowledge of office software packages – MYOB, Spike and the Microsoft Office suite
