Financial Planning Assistant / ClientService officer

The Company

We are a growing Financial Planning Practice located in Mudgeeraba, Gold Coast, looking for an experienced Financial Planning Assistant / Client Services Officer to join our team in a full-time or part-time capacity. We provide our clients with personalised financial advice for their complete financial situation. Our areas of expertise include Financial Planning, investment, superannuation & retirement advice, risk insurance and SMSFs. The role is to provide administrative support in all areas of the Financial Planning process to our two Financial Planners and clients.  

The Role

As a valued member of our highly ethical and client focused Financial Planning company this part-time role will be varied. You will support the Director/Senior Financial Planner and another Financial Planner with all administrative and process driven client work. You are to reduce the amount of time the financial planners spend on administration and customer and product provider follow-ups and tasks.

In doing so, you will be an integral part of the full advice process and customer experience by supporting the provision and implementation of high quality financial advice in a timely and accurate manner.

We are looking for an individual who is self-motivated, committed and can stay focused on the process and client experience. 

The Responsibilities

The specific duties of this role will vary across the full Financial Planning process and client experience and will include (but not limited to):

  • Assist and support the Financial Plannerss in all daily administration duties of the full end-to-end Financial Planning process, including diary management, processing client correspondence and all around office support.
  • Take inbound and make outbound calls, respond in person and in writing to assist clients with enquires and the implementation of advice.
  • Prepare to a high quality standard various client documentation, reports and other client correspondence ensuring correct and accurate documentation is attached.
  • Create, fill out, and process all documentation relating to initial, follow up, and ongoing advice meetings and the client process.
  • Complete advice implementation activities including completion, lodgement and follow up of application forms and various other advice process documentation.
  • Liaising with clients, fund managers, and other service and product providers.
  • Collect and complete research on customer's existing products
  • Managing and ensuring the client database (Xplan) is consistently up to date and accurate;
  • General client related administration functions such as document scanning, filing and marketing activities.
  • Arranging new, adhoc and regular client meetings. And confirming these meetings.
  • Provide input into Continuous Improvement processes
  • Support financial planners and clients with ad-hoc client requests

The Requirements

The key attributes required for this role are:

  • MUST have at least 2-3 years experience in a similar Financial Planning administration, support and implementation role within a Financial Planning office.
  • DFP not necessary, but favoured.
  • Experience in the use of Financial Planning software, ideally Xplan.
  • Intermediate level of experience in the use of Microsoft Office, particularly Word and Excel.
  • Excellent communication both written and verbal.
  • Highly organized with strong administration skills and attention to detail, and ability to work to meet deadlines.
  • A high level of professionalism and a positive attitude.
  • Exceptional Client Service skills. Experience and comfortable calling and dealing with super, investment and insurance providers over the phone.
  • Ability to effectively prioritise given the various responsibilities to ensure deadlines are met.
  • Ability to grasp new information and concepts.
  • Strong organisational and time management skills.
  • You must be a team player who enjoys building relationships with clients and takes pride in providing quality service.
  • You will need to be able to work autonomously and unsupervised when the financial planners are in meetings.
