Key Responsibilities:
The Front Office Coordinator will:
- Promote and display excellent customer service
- Ensure patient satisfaction, including troubleshooting when there is a complaint.
- Answer all phone calls in a friendly manner, using the 10 point phone list as required or triaging and be gatekeeper.
- Be accountable for the successful production focussed bookings in Exact including accuracy of bookings and preventing mis-schedules.
- Use, Update & complete the Front office checklist and scan daily to your manager.
- Prepare for and facilitate Morning Huddles using the Huddle Agenda according to Lidums Protocol focussing on production opportunities
- Provide Practice Owner with weekly report on General Dentist New Patient bookings & Treatment plan acceptances.
- Meet weekly with Manager to provide reports on General Dental production goals and actuals.
- Manage and Perform Active Maintenance.
- Make Confirmation, Pre Surgical & Post Op calls 1 day prior to/post patient’s appointments.
- Manage Credit Control relating to patients.
- Ensure deposits are taken to secure New Patient Consultations & Treatment..
- Ensure all 3rd party claims are processed within 1 week of treatment (ie DVA, RTWSA)
- Manage Dentist & Patient correspondence, manage external contractors, mail & suppliers, Financial parties and ensuring actions required are followed through.
- Prepare rosters in liaison with Senior Dental Assistant having a draft ready for approval from the manager by Wednesday 9amweekly.
- Perform other reasonable duties and responsibilities as assigned.
- Consistently perform marketing duties such as recording New patient calls, Referral Sources and Google Reviews.
- Supervise the activities of Junior Admin and ensure they stay focussed on Value Adding activities and their Daily & Weekly checklist.

The Front Office Coordinator will possess:
· Sound computer knowledge
· zDental Software minimal knowledge
· Ideally, basic Dental knowledge
· Ability to communicate professionally with dentists, hygienists, allied health staff, administrative staff, contractors, governmental agencies, insurance payers, patients, family members of patients, suppliers, and the general public, of all age levels.
· Professional communication and presentation skills, including face to face, email, telephone, and video conference.
