The HSE Administrator will report directly to the Global Training and Compliance Lead and will work closely with other members of the HSE functional team to provide generalist HSE administrative support.
This is a permanent, Part Time role working 20 hours/week. This is a back to back/job sharing position and the hours are as follows: Monday and Tuesday afternoons (1pm to 5pm), Wednesdays full day and the choice of Thursday or Friday afternoon. The successful candidate can work from home on the half days and will be asked to work in the office on Wednesdays.
Key Areas of Responsibility:
- Support document control processes relating to the EDL HSE Management System.
- Reviewing document formatting - Publishing documents within the HSE Management System.
- Working with relevant personnel (i.e. procurement) to procure team HSE supplies and services (i.e. PPE).
- Managing invoice coding and goods receipting.
- Assisting the HSET Team with the management of the HSET inbox (tasks include but are not limited to processing of HSE Inspections, processing contractor activation key requests and responding to general HSE administrative enquiries).
- Assisting with the preparation of scheduled and ad-hoc HSE meetings (taking HSE meeting minutes, distributing minutes to key personnel and managing HSE records).
- Assisting with routine administrative compliance tasks.
- Completing administrative tasks relating to HSE support systems.
- Assist with HSE Monthly reporting requirements.
- Actively ensure own health and safety and the health and safety of others through understanding and implementing workplace health and safety obligations.
- In addition to the duties set out above, the HSE Administrator may be expected to perform other duties as assigned from time to time by the Global Training and Compliance Lead.
Person Specification:
- Exceptional attention to detail, strong organisational skills and ability to prioritise competing priorities.
- Strong verbal and written communication skills.
- Strong stakeholder management ability, strong influencing skills.
Qualifications and Experience:
- 3 to 5 years of experience in an administrative function (bonus if previous working across utilities, mining, oil and gas or similar).
- Administrative experience supporting a broader department.
- Advanced/Intermediate computer skills in Microsoft Office suite.
- HSE qualifications (desirable, however not essential).
