About the role
We are seeking a dynamic and experienced Incentive, Conference, and Event Manager to join the team at Totem Connections, our specialist incentive travel, conference and Event division. In this role, you will be responsible for planning, coordinating, and executing incentive programs, conferences, and Events for our corporate clients. From conceptualisation to execution, you will play a key role in ensuring the success of each program or event, delivering unparalleled service, and creating memorable experiences for our clients and their participants
Key Responsibilities:
- Work closely with clients to understand their objectives, preferences, and budgetary considerations, and develop customised incentive programs, conferences, and Events tailored to their needs.
- Manage all aspects of program and Event planning, including venue selection, transportation logistics, accommodation arrangements, catering, entertainment, and onsite coordination.
- Collaborate with internal teams, external vendors, and suppliers to negotiate contracts, secure bookings, and ensure seamless execution of programs and Events.
- Create detailed project plans, timelines, and budgets, and monitor progress to ensure milestones are met and budgets are adhered to.
- Provide exceptional customer service throughout the planning process and onsite during programs and Events, addressing client inquiries, resolving issues, and ensuring participant satisfaction.
- Conduct post-event evaluations and analysis to measure the success of programs and Events, gather feedback from clients and participants, and identify areas for improvement or enhancement.
- Keep abreast of industry trends, best practices, and innovations in incentive travel, conferences, and Events, and incorporate relevant ideas and strategies into program and Event design.
Attributes, Skills, Qualifications and Experience
- Significant hands-on management experience, ideally working for an Incentive Marketing Company, Professional Conference Organiser or Event Agency.
- Excellent negotiation and communication skills with a variety of stakeholders
- Strong budget and financial acumen, with the ability to identify opportunities that maximise the commercial opportunity for Totem Connections and deliver value for clients
- Experience with Microsoft 365, Google for Business and EventsAir or similar event management technology
- Industry accreditation highly desirable
