Job description

The Logistics and Compliance Coordinator is pivotal in ensuring the winery operates seamlessly while adhering to safety, regulatory, and quality standards. This role encompasses reception, general administrative duties, export and logistics coordination.

The areas of focus for the role are:

Food Safety, Sustainability, Environmental and Quality Requirements

  • Manage food safety programs based on HACCP principles, with a view to working towards ISO and BRC accreditation. 
  • Manage systems for sustainable winegrowing and organic certification.
  • Monitor and ensure compliance with environmental regulations.
  • Implement and maintain quality control procedures throughout the winemaking process.
  • Ensure standards for all of the above are achieved within the vineyard, winemaking practices and when bottled including product labelling.

Export & Logistics Coordination

  • Organise logistics for multiple facets of the business which may include export, general Logistics and bottling requirements.
  • Coordinate with freight providers for small, palletised, and international shipments.
  • Work with the production team to prepare and manage accurate export documentation in compliance with international regulations. Coordinating with relevant authorities and agencies for export permits and certifications.
  • Coordinate the input materials and finished goods inventory for on-site bottling.

Legal and Regulatory Compliance

  • Stay up-to-date with local, national, and international regulations.
  • Undertake audits for various aspects of the business.
  • Completing research projects for upper management related to various issues such as competitors, regulations and laws, and details about professional associations.

Communication

  • Perform front office/reception duties.
  • Handle telephone calls, emails, and inquiries.
  • Greet visitors and offer refreshments.
  • Communicating effectively with customers, suppliers, vendors and colleagues.
  • Taking meeting minutes, compiling these and communicating to necessary parties.

Scheduling

  • Coordinate events, such as planning winery parties, client dinners, luncheons or out-of-office team-building activities.
  • Schedule and set up for in-office or conference meetings. 
  • Schedule appointments and travel itineraries for management, employees, or job candidates.
  • Maintaining calendars, and being a personal assistant for the General Manager and Finance & Administration Manager.

General Administration and Safety

  • Undertaking various general administrative tasks such as mail collection, document filing, document scanning, document preparation and any other general administrative tasks.
  • Using software to complete tasks, such as Microsoft Office Suite (Word, Powerpoint, Excel, Outlook) and winery specific programs such as Vintrace.
  • Performing research online and compiling information for management.
  • Order supplies and manage inventory within general areas such as stationery, cleaning, uniforms, personal protective equipment and any other area. 
  • Operate office machinery and provide other personnel with information technology support. 
  • Collect, organize, and manage records and paperwork.
  • Manage the administration side of contractors such as inductions, insurance coverage / licence requests and maintenance to ensure they are in date, and appropriate filing of paperwork provided such as risk assessments.
  • Work with the safety committee to address safety concerns, update documentation and assist in reviewing particular requirements. 
  • Assist in audits, inspections, and documentation preparation.
  • Prepare reports for management as required.

This role ensures comprehensive support for the winery's operations, compliance, administrative functions, export activities, and logistics operations, fostering efficiency, quality, and customer satisfaction.

Experience within these areas is advantageous but not essential.
