About the role
This is a full time or part time position working as a specialist reception and personal administrative assistant in an established dermatology and cosmetic clinic.
3-5 days per week negotiable (must be available Monday and Fridays and able to work until 6.30pm (occasionally), minimum 18 hours per week).
We offer a wide range of medical, laser and cosmeceutical beauty treatments and have a large retail offering in clinic and online. Working both front of house reception and general administrative duties, the appropriate candidate will have medical administration, reception, sales experience and be able to accurately check out and schedule patients, recommend products, provide administrative assistance to our retail sector and be able to work pro-actively in a fast paced environment.
Our front of house Medical Receptionist is a crucial first point of contact for our business. As such, the following qualities are considered essential:
- Reliability
- An understanding of the Medicare Benefits Schedule
- Ability to engage with the customers and provide a high level of service
- The ability to maintain a high level of professionalism and confidentiality
- Excellent communication skills, written and verbal
- Ability to work independently, show initiative and work positively and productively within a team environment
- Ability to recommend products and services and build repeat business
- A high attention to detail and accuracy of data entry
The following additional qualities are considered most desirable:
- Minimum 1 years previous experience as a Medical Receptionist in General or Specialist Practice or similar administrative position
- Previous experience in the use of Genie and/or Timely and Shopify
- Working knowledge of Windows based software systems (eg, Word, Excel)
- An interest in dermatology, cosmetic medicine and cosmeceutical products
Key duties involve:
- Medical receptionist responsible for inbound and outbound patients
- Answer the telephone in a courteous and professional manner
- Receive, assess urgency and convey messages in writing, verbally and electronically
- Fax, scan, and file documents
- Contribute equitably to maintaining the cleanliness of the practice
- Personal and business administrative duties as directed by the Operations Manager or Principal Director
- Handling of cash, EFTPOS and other payments
- End of day reconciliation
- Patient photography pre and post treatment
- Inventory management and preparation of postal orders
- Product sales and recommendation of services
- Medical typing for urgent reports if required
- Online store order fulfilment and customer follow up

Renumeration
- $25-$36 per/hour depending on experience and skills
