Role Overview: We are seeking an experienced Receptionist / Administrator to join our dynamic team on a part-time basis (approximately 28 hours per week - across 5 days). The successful candidate will play a crucial role in ensuring the smooth operation of our healthcare centre, providing essential support to both staff and patients.
Key Responsibilities:
- Greeting, welcoming and directing patients/clients/visitors in accordance with our clients standards, guidelines and ethos
- Responding to and following up on all communications in a timely manner and in accordance with company policy, procedures and guidelines - from patients/clients, supplier, industry representatives, general public etc. via all forums including but not limited to in person, on the telephone and via email and website enquiries.
- Communication with clinicians and other staff of patients/clients/visitor arrival.
- Administration of client management system, including but not limited to input, document scanning, filing and reporting.
- Accurate and timely recording and reporting of all patient/client related communications and information on designated company systems.
- Creation, processing and follow up of purchase orders, job sheets and other organisation workflow documentation as required/requested and in accordance with company policy, procedure and guidelines.
- Receipt and dispatch of all incoming and outcoming stock, product, mail etc. in accordance with company policy, procedures and guidelines.
- Maintains security and telecommunications system.
- Informs patients/clients/visitors by answering or referring inquiries in a timely and appropriate manner.
- Maintain security of patient/client, visitor and staff, intellectual property and premises by following all relevant security and confidentiality procedures,
- maintaining and monitoring registers/log/information catchment sources
- observing and reporting on any identified breaches/variations
- Operate telecommunication system by following manufacturer’s instructions and operational requirements.
- Maintain all general public spaces, facilities, equipment and offerings to safe, hygienic and visually appealing standards in accordance with company policy, procedure and guidelines – this includes compliance with any regulatory or business standards which may be directed or requested.
- Assist with quoting and invoicing processes as required.
- Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs as required, requested or directed.
Any other administrative or business operational related tasks as required/requested.
What We're Looking For: The ideal candidate will possess:
- 5+ years of demonstrated experience in a similar role within the Specialist Allied Health industry
- A genuine passion for healthcare and improving community well-being
- Exceptional communication skills and a friendly demeanor
- Strong attention to detail and organizational abilities
- Proficiency in medical office software and technology (currently using Cliniko transitioning to Splose)
- Ability to successfully secure Qld Blue Card
